Accepting seamless integrated payments through Appointy keeps your payment records automatically streamlined without you having to record every bit of it manually in your scheduling system.

Online payments in Appointy via integrated payment gateways and POS systems
In Appointy, you can integrate with popular payment gateways to accept payments directly in your account. Through an integrated payment gateway in Appointy, you can either charge your clients at the time of booking or you can charge them via a POS device at your billing desk.

Accepting pre-payments in Appointy
In Appointy, you have the ability to take complete service cost, fixed advance fee or a percentage of the service cost as pre-payments from your clients at the time of bookings. Whatever your pre-payment
The only thing you need to do is, after integrating your Appointy account with payment gateway(s), you need to first enable pre-payments in Appointy to start accepting payments at the time of bookings. Navigate to ‘Payment Rules’ from the ‘Settings’ tab in the toolbar on the left and turn on the toggle next to ‘Accept pre-payments’. Here, you can select what kind of pre-payments do you want to enable:
- Charge full-service amount
- Charge fixed booking fee
- Charge % of service value
Enter the fixed booking fee or the percentage of the service cost that you want to charge.

How paid bookings work in Appointy?
With Appointy, you can accept payments from your clients at the time of booking. Here’s an explanation of how paid bookings work in Appointy:
- A client will select a service for booking.
- The selected time-slot will be temporarily blocked for 5 minutes. Appointy forwards the client to the payment gateway for payment. Meanwhile, no one else will be able to book that time-slot.
- Once the payment is realized, the payment gateway sends a notification to Appointy and the appointment is marked as confirmed (depending on your appointment approval settings under ‘Customer Booking Rules’). These prepaid and confirmed bookings are reflected with a ‘Paid’ status in your calendar.
- If the client does not pay or the payment is declined due to some reason, the booking expires and the time-slot is again available for bookings to other clients.
- The failed booking is, however, shown in the unapproved section which can be manually approved by an admin or a staff member. The reason we reflect it in your unapproved appointments is because sometimes the payment gateway might fail to send a notification even after the payment is realized.
Accepting payments through POS
Accepting online payments at your billing desk can be made a quick and cashless affair with Square POS. Square POS allows you to accept payments via paying methods like debit and credit cards that are directly transferred into your account.
In Appointy, POS payments are enabled through Square. Once you integrate your Square payments account with Appointy, Square will be visible as a payment mode when you add a payment for an appointment.

How are paid bookings reflected in Appointy?
In your appointment calendar, paid bookings are reflected with a ‘Paid’ status at the bottom-right corner of the appointment block in your Appointy calendar. In order to view the payment amount, you can click on the appointment block in the calendar and view the complete payment history for the appointment in the appointment details side panel.
If you want to view a payment history for a particular customer, you can view it from the ‘Customers’ tab in the toolbar along with all the payment details including payment date, payment type, payment mode and payment amount.

Processing a refund for a booking
Payment gateways like Stripe and Square payments in Appointy allow you to make a booking refund through Appointy itself. However, if the payment has been received through Authorize.net or PayPal, you need to manually process the refund and then record it in your Appointy account.
In order to process a refund, just click on the appointment in the calendar for which the refund needs to be processed. Click on ‘View’ against the paid amount highlighted in green color and then click on ‘Refund’ against the payment that you want to refund in the ‘Payment History’ pop-up. Payments made through Stripe and Square will be initiated automatically. In case of payments through Authorize.net or PayPal, a refund will be recorded in the Appointy account for the appointment. However, you need to process the refund manually.
