Appointy lets you control whether a staff member is available for customers to book online or is available only for internal scheduling.
A staff member can be:
- Public — customers can see and book the staff member from the booking interface
- Private / Internal — customers cannot book the staff member online, but appointments can still be added internally by an Admin, Manager, or the staff member
When should I make a staff member private?
Private staff is useful when someone should remain part of your scheduling setup but should not appear as a selectable option for customers.
For example:
- A senior consultant who accepts bookings only through the business
- A staff member who handles internal or VIP appointments
- A specialist who should only be scheduled after qualification or approval
- A staff member used for administrative or internal bookings
- A team member whose calendar is managed by the business rather than directly by customers

What happens when a staff member is private?
When Internal Staff is enabled:
- Customers cannot book that staff member online
- The staff member remains active in Appointy
- An Admin can add appointments to that staff member’s calendar
- A Manager can add appointments to that staff member’s calendar
- The staff member can add appointments to their own calendar if they have login access
- Existing schedule and appointment records remain in the account
Example: Senior consultant available only for internal booking
Suppose a consulting business has:
- Consultant A — available for public online booking
- Consultant B — senior consultant who handles selected clients only
The business does not want every customer to book Consultant B directly.
Consultant B can be marked as Internal Staff.
Customers will not see Consultant B as an online booking option, but the Admin, Manager, or Consultant B can still add appointments to that calendar internally.
How to make a private staff member public again
To make the staff member available for customer booking again:
- Go to Settings → Staff.
- Select the staff member.
- Open the Details tab.
- Turn off the Internal Staff toggle.
The staff member will return to Public status.
