Appointy lets you update the check-in status of an appointment so your team can track what happened with each booking.
You can use predefined statuses such as No Show, As Scheduled, or Arrived Late, or create your own custom appointment statuses based on your business workflow.
If you want to create your own status, see:
How to Create a Custom Appointment Status
What is an appointment check-in status?
A check-in status helps you classify an appointment based on the customer's attendance or booking outcome.
For example, you may use:
- As Scheduled when the customer attended as expected
- Arrived Late when the customer arrived after the scheduled time
- No Show when the customer did not attend
Businesses can also create custom statuses such as Attended or Absent for class-based bookings.
How to update the check-in status
Quick navigation
Calendar → Select Appointment → Check-in → Select Status
Steps to update the status
- Log in to your Appointy admin account.
- Click Calendar in the toolbar on the left.
- Select the appointment for which you want to update the status.
- In the appointment details side panel, click Check-in.
- Select the appropriate status from the drop-down menu.
The selected status will then be associated with that appointment.
.
Example: Tracking attendance for a class
Suppose you run a fitness class, coaching session, training class, or educational program.
After the class, you may want to track who attended and who did not.
If you have created custom statuses such as:
- Attended
- Absent
you can open each booking and update the check-in status accordingly.
For example, if a class has 15 bookings:
- 12 customers attended → mark them Attended
- 3 customers did not attend → mark them Absent
This gives you a clear attendance record against the individual bookings.
Can I filter reports by appointment status?
Yes.
Appointment reports can be filtered based on appointment status.
For example, if your class bookings use Attended and Absent, you can filter the report to review:
- Customers who attended
- Customers who were absent
- Attendance for a selected period
- Appointments with a particular status
This makes check-in statuses useful both for day-to-day appointment management and reporting.
What is the difference between updating a status and creating a custom status?
Updating a status means selecting an existing status for an appointment.
Creating a custom status means adding a new status option that can then be used across appointments.
For example:
- Selecting No Show for a booking → updating status
- Creating Attended as a new option → creating a custom status
