If your business provides services across different geographic areas, you can assign specific area codes to individual staff members.
When a staff member is linked to an area code, they are shown only to customers booking in that assigned area. This helps prevent staff from receiving bookings in locations where they do not provide services.
Why assign area codes to staff?
Area-code assignment is useful for businesses where staff work only in specific service areas.
For example:
- Driving schools
- Home-service businesses
- Mobile beauty services
- Tutors who travel to students
- Repair or maintenance businesses
- Healthcare or wellness providers offering home visits
- Field-service teams
The customer’s selected area helps determine which staff members are eligible to appear for booking.
Which businesses should use area codes?
Area codes are most useful for businesses where staff travel to customers or where different staff members cover different geographic service areas.
Typical use cases include:
- Driving schools — instructors can be assigned to the suburbs or postal areas they cover.
- Home cleaning services — cleaners can be assigned to specific neighborhoods or service zones.
- Mobile beauty and wellness businesses — beauticians, massage therapists, or stylists can serve selected areas only.
- Home healthcare services — nurses, therapists, or caregivers can be assigned to specific locations.
- Tutoring businesses — tutors who travel to students can be limited to the areas they serve.
- Repair and maintenance services — technicians can be assigned based on territory or postal code.
- Field service businesses — installers, inspectors, engineers, or other mobile staff can be routed by service area.
- Pet services — mobile groomers, walkers, or trainers can be assigned to selected neighborhoods.
- Property services — photographers, cleaners, maintenance teams, or inspectors can cover defined geographic areas.
When is this feature most useful?
Use area-code assignment when:
- Your staff do not all serve the same geographic area.
- Customers book services based on their location.
- You want to prevent staff from receiving bookings outside their territory.
- Different staff members cover different suburbs, ZIP codes, postal codes, or service zones.
- You operate a mobile or on-site service business rather than serving everyone from one fixed location.
For a business where all customers visit the same office, salon, clinic, or studio and geographic staff assignment is not required, this feature may not be necessary.
Example: Driving school with instructors assigned to specific areas
Suppose a driving school operates across several suburbs or postal areas.
It has three instructors:
- Instructor A serves Area 1 and Area 2
- Instructor B serves Area 2 and Area 3
- Instructor C serves Area 4 only
If a learner books a driving lesson in Area 3, Appointy can show Instructor B because that instructor is assigned to Area 3.
Instructor A and Instructor C will not appear for that booking because they are not assigned to that area.
This prevents instructors from being booked in areas where they do not operate.

Assigning from Area Codes vs Staff
Both methods update the same relationship, but they are useful in different situations.
Use Area Codes when you want to answer:
“Which staff members serve this area?”
Use Staff → Postal Codes when you want to answer:
“Which areas does this staff member serve?”
For example, a driving school adding a new instructor may find it easier to open that instructor’s profile and assign all the postal areas they cover.
If the business adds a new service area, it may be easier to open that area code and assign all instructors who work there.
What happens when a staff member is not assigned to an area?
If the customer is booking for an area that is not assigned to the staff member, that staff member will not be shown as an available option for that booking.
This helps ensure bookings are routed only to staff who operate in the selected geographic area.
