After adding a new staff member in Appointy, you need to assign the services they provide and configure when they are available to perform those services.
This determines when customers can book that staff member.
What does staff availability mean in Appointy?
Staff availability defines:
- Which services the staff member provides
- On which days they provide those services
- At what times they are available
- Whether the schedule is regular or irregular
A staff member will only appear as available for booking when the relevant service assignment and schedule are configured.

- Repeat the process for other days or additional services as required.
Regular vs irregular staff availability
Appointy lets you configure both regular and irregular schedules.
Regular availability
Use regular availability when the staff member follows a recurring schedule.
For example:
- Monday to Friday
- 9:00 AM to 5:00 PM
Irregular availability
Use irregular availability when the staff member works on specific dates or has a schedule that differs from their regular pattern.
This is useful for temporary changes, special working days, or date-specific availability.
Example: New stylist offering selected services
Suppose a salon adds a new stylist who provides:
- Haircut
- Hair Coloring
- Blow Dry
The stylist works:
- Monday to Friday
- 10:00 AM to 6:00 PM
The Admin can open that staff member’s Schedule tab, assign the relevant services, and add the working hours for each one.
If the stylist does not provide another service, such as Nail Art, there is no need to assign that service to them.
This helps ensure customers only see the staff member for services they actually provide.
Staff availability vs service availability
These are two views of the same scheduling relationship.
Staff availability starts with the staff member and answers:
“Which services does this staff member provide, and when?”
Service availability starts with the service and answers:
“Which staff members provide this service, and when?”
For example:
- Staff view: Therapist A → Massage → Monday–Friday
- Service view: Massage → Therapist A, Therapist B → their respective schedules
Both approaches help configure the relationship between staff, services, and availability.
Why is the staff member not showing as available for booking?
Check that:
- The staff member is assigned to the service
- Availability has been added for that service
- The staff member is Active
- The staff member is Public if customers should be able to book them
- The service is Active
- The service is Public
- The full service duration fits within the available schedule
- There are no blocked periods or existing appointments preventing availability
- Any required resource is available
For example, if a service lasts 60 minutes but only 45 minutes remain in the staff member’s available schedule, that slot will not appear.
