Appointment Report
The Appointment Report provides detailed information about appointments booked with your business and the services associated with those appointments.
You can review appointments based on:
- Appointment Date
- Booking Date
This is useful when you want to understand either when the appointment is scheduled to happen or when the customer originally made the booking.
Expected Revenue in the Appointment Report
The Appointment Report includes Expected Revenue.
Expected Revenue represents the expected value of appointments based on the original service price.
It does not automatically reduce the Expected Revenue when a coupon or discount is applied.
Example: Coupon discount
Suppose:
- Original service price: $99.95
- Coupon discount: $30
- Amount payable after discount: $69.95
The Appointment Report still uses $99.95 when calculating Expected Revenue.
If 40 appointments were booked:
Expected Revenue shown in the Appointment Report
40 × $99.95 = $3,998
If all 40 appointments used the $30 coupon:
Adjusted booking value after discount
40 × $69.95 = $2,798
The difference exists because the Appointment Report uses the original service price when calculating Expected Revenue.
How to calculate adjusted Expected Revenue when discounts are used
If only some appointments used a coupon, you can manually calculate the adjusted expected value.
Formula:
Adjusted Expected Revenue = Expected Revenue − (Coupon Discount × Number of Appointments Using the Coupon)
Example
- Expected Revenue: $3,828.05
- Coupon discount: $30
- Appointments using the coupon: 30
Calculation:
$3,828.05 − ($30 × 30) = $2,928.05
So the adjusted expected value after those discounts would be $2,928.05.
This calculation is useful when you want to estimate appointment value after discounts.
Expected Revenue is not the same as money collected
Expected Revenue should not be treated as the amount already received.
For example:
- Original service price: $99.95
- Coupon discount: $30
- Discounted appointment value: $69.95
- Advance payment collected: $10
For 40 appointments:
Discounted appointment value
40 × $69.95 = $2,798
Advance payment collected
40 × $10 = $400
Remaining balance
40 × $59.95 = $2,398
The Appointment Report may therefore show a much higher Expected Revenue than the amount currently recorded in the Sales Report.
That does not necessarily indicate an error. The two reports measure different things.
Sales Report
The Sales Report shows revenue and payments that have actually been recorded.
Use the Sales Report when you want to understand:
- Payments received
- Advance payments
- Remaining balances recorded later
- Revenue recorded during a particular period
Which month does a payment appear in?
Sales are counted according to the date the payment is received or marked as paid, not necessarily the appointment date.
Example: Future appointment paid today
Suppose it is October and a customer books an appointment for December but pays in October.
The sale is counted in:
October Sales
because the payment was received in October.
Example: Past appointment paid later
Suppose a customer had an appointment in October, but you mark the appointment as paid in December.
The sale is counted in:
December Sales
because that is when the payment was recorded.
Sales Report follows the payment date, while Appointment Report follows appointment-related activity.
Advance payments and remaining balances
If a customer pays only part of the appointment amount during booking, the Sales Report initially reflects only the amount that has actually been recorded as paid.
For example:
- Discounted appointment value: $69.95
- Advance collected: $10
- Remaining balance: $59.95
The Sales Report initially reflects the $10 payment.
When the remaining $59.95 is collected and recorded later, that amount appears according to the date on which it was recorded.
Why Appointment Report and Sales Report may not match
You should not expect the totals in the Appointment Report and Sales Report to always match.
They measure different things.
| Report | What it represents |
|---|---|
| Appointment Report – Expected Revenue | Expected appointment value based on the original service price |
| Adjusted Expected Revenue | Appointment value after manually accounting for discounts |
| Sales Report | Payments actually recorded |
| Remaining Balance | Amount still to be collected |
There can also be a timing difference.
For example:
- Appointment date: December
- Payment date: October
The appointment belongs to the December appointment period, while the payment belongs to October Sales.
Similarly:
- Appointment date: October
- Payment marked as paid: December
The payment is counted in December Sales.
Important when comparing Appointment and Sales Reports
When reconciling the two reports, make sure you consider:
- Appointment date
- Booking date
- Payment date
- Coupon discounts
- Advance payments
- Remaining balances
- Payments recorded later
Comparing one month of Appointment Report data directly with another month of Sales Report data can result in different totals simply because the appointment and payment dates are different.
