Integrate Zoom with Appointy to automatically create and manage virtual meetings whenever customers book online appointments. Whether you offer consultations, coaching sessions, interviews, classes, or other virtual services, the Zoom integration helps you manage your online appointments without manually creating meeting links.
With Appointy's Zoom integration, you can:
- Automatically create Zoom meetings when customers book appointments for eligible services.
- Reschedule or cancel Zoom meetings automatically when corresponding appointments are rescheduled or canceled in Appointy.
- Assign Zoom users to staff members to manage meetings across your team.
- Include Zoom meeting links in booking confirmation and reminder emails.
- Support group bookings using your Zoom Personal Meeting ID.
- Manage which services and staff members are included in the Zoom integration.
How to Connect Your Zoom Account with Appointy
Only the main Appointy administrator can connect and configure the Zoom integration.
Follow these steps to connect your Zoom account:
- Log in to your Appointy Admin Panel.
- Navigate to Marketplace from the left navigation menu.
- Select Zoom Meetings.
.
.
- Click Connect in the upper-right corner.
- Sign in to your Zoom account and authorize the integration.
- Select the services and staff members for which Zoom meetings should be automatically created.
- Click Save to complete the setup.
.
How to Configure Zoom for Multiple Staff Members
If your Zoom account has multiple users, the main Appointy administrator can configure which Zoom users should host meetings for specific Appointy staff members.
This is useful for businesses with multiple consultants, coaches, instructors, or other staff members offering virtual appointments.
Example:
Suppose your business has three consultants:
- Sarah — Business Consultations
- John — Financial Consultations
- Emily — Career Coaching
You can associate each staff member with their corresponding Zoom user.
When a customer books an appointment with Sarah, the meeting is created for Sarah's assigned Zoom user. Similarly, bookings with John or Emily are associated with their respective Zoom users.
Note: Zoom integration is managed by the main Appointy administrator. Staff members cannot independently connect the business's Zoom integration through their individual Appointy staff login.
Where Can Admins and Staff Find the Zoom Meeting Link?
Once a Zoom meeting is created, admins and staff can access the meeting link directly from the appointment details in Appointy.
- Log in to your Appointy Admin or Staff account.
- Open MySpace or the Appointment Calendar.
- Click the scheduled appointment to open its details.
- Under Join Meeting, click the Zoom link to join the meeting.
The appointment details also display the Zoom Meeting ID and PIN, which can be used to join the meeting manually.
How to Include Zoom Meeting Links in Customer Emails
You can include Zoom meeting links in both Booking Confirmation and Booking Reminder emails using Appointy's email customization settings.
- Go to Settings → Customize Emails in your Appointy Admin Panel.
- Expand Booking Confirmation and click Edit.
- Place your cursor where you want the Zoom meeting link to appear.
- Select Smarty Tags → Meeting location.
- Click Save & Publish.
- Repeat the same steps for the Booking Reminder email template.
Important: Make sure you customize both email templates so customers receive the Zoom meeting link when their appointment is confirmed and again in their appointment reminder.
Online Appointments vs. In-Person Appointments
The Meeting Location tag displays the appropriate location information based on the appointment.
- Online appointments: The email includes the Zoom meeting link.
- In-person appointments: The email displays your business location or address.
This allows you to use the same email notification template for both online and in-person appointments.
Where Can Customers Find Their Zoom Meeting Link?
Customers can access their Zoom meeting information in the following locations.
1. Booking Confirmation Page
After booking an eligible online service, customers will see their appointment details and Zoom meeting link on the booking confirmation page.
2. Booking Confirmation Email
If the Meeting Location Smarty Tag is included in your Booking Confirmation email template, the Zoom meeting link will appear in the email sent to customers.
3. Appointment Reminder Email
You can also include the Meeting Location tag in reminder emails so customers can access their meeting links before their appointments begin.
How to Enable or Disable Zoom Meetings for Specific Services
You can choose which services should automatically generate Zoom meetings.
For example, a business offering both online and in-person consultations may want Zoom meetings created only for online consultations.
Steps to Disable Zoom for a Service
- Log in to your Appointy Admin Panel.
- Navigate to Marketplace → Zoom Meetings.
- Locate the All Meetings setting.
- Click Change.
- A list of services will appear.
- Uncheck the services for which you do not want Zoom meetings to be created.
- Click Done to save your changes.
After saving, new bookings for the excluded services will no longer automatically generate Zoom meetings.
How to Disable Zoom Meetings for a Staff Member
You can exclude individual staff members from the Zoom integration without disconnecting Zoom from your entire Appointy account.
- Navigate to Marketplace → Zoom Meetings.
- Locate the list of staff members associated with your Zoom integration.
- Find the staff member you want to exclude.
- Click Unlink next to that staff member.
New appointments booked with that staff member will no longer automatically generate Zoom meetings through the removed configuration.
How to Use Zoom for Group Bookings in Appointy
If you offer online group classes, workshops, training sessions, or consultations, you can configure Appointy to use your Zoom Personal Meeting ID (PMI).
This allows customers booking eligible online services to receive the same Personal Meeting ID.
Steps to Enable a Personal Meeting ID
- Log in to your Appointy Admin Panel.
- Navigate to Marketplace → Zoom Meetings.
- Open your Zoom integration settings.
- Enable Use Personal Meeting ID.
-
Save your configuration.
Important: Personal Meeting ID Applies to All Eligible Meetings
When Use Personal Meeting ID is enabled, the same Personal Meeting ID is shared with customers booking eligible individual or group appointments.
You cannot configure the integration to automatically use a unique meeting ID for individual appointments while using a Personal Meeting ID exclusively for group bookings.
Security recommendation: Because a Personal Meeting ID may be reused across multiple sessions, consider enabling Zoom's waiting room and passcode features to manage access to your meetings.
How to Temporarily Deactivate Zoom Integration
You can temporarily stop Appointy from creating new Zoom meetings without disconnecting your Zoom account.
- Log in to your Appointy Admin Panel.
- Navigate to Marketplace → Zoom Meetings.
- Locate the Active setting.
- Turn off the toggle to deactivate the integration.
Your Zoom account will remain linked to Appointy, but new Zoom meetings will not be generated while the integration is inactive.
You can enable the integration again by turning the Active toggle back on.
How to Disconnect or Revoke Zoom Integration
If you no longer want to use Zoom with Appointy, you can disconnect the integration.
- Log in to your Appointy Admin Panel.
- Navigate to Marketplace → Zoom Meetings.
- Click Revoke in the upper-right corner.
Revoking the connection unlinks your Zoom account from Appointy.
If you want to use Zoom again, reconnect your account and configure the integration.
Important: Zoom API Daily Meeting Limit
Zoom applies a daily limit of 100 meeting creation and update API requests per Zoom meeting host.
This limit includes requests to create new Zoom meetings and update existing meetings.
For example:
- 70 new Zoom meetings are created.
- 30 existing Zoom meetings are updated following appointment rescheduling.
- Total requests: 100.
The Zoom host has now reached the daily limit.
What Happens When the Limit Is Reached?
If the daily request limit is exceeded, Zoom may return an HTTP 429 error indicating that the daily quota has been reached.
Additional meeting creation or update requests may fail until the quota resets.
Important things to know:
- The limit applies to each individual Zoom meeting host.
- Both meeting creation and update requests count toward the quota.
- The daily limit resets at 00:00 UTC (GMT).
- The quota is based on API requests, not necessarily the number of appointments booked in Appointy.
For more information, refer to Zoom's API Rate Limits documentation.
Troubleshooting Zoom Integration
1. Zoom Meeting Is Not Being Created for a New Appointment
If Appointy is not generating a Zoom meeting for an appointment, check the following:
- Open Marketplace → Zoom Meetings.
- Verify that your Zoom account is connected.
- Make sure the integration is Active.
- Confirm that the booked service is selected for Zoom meeting creation.
- Verify that the assigned staff member is linked to the appropriate Zoom user.
- Check whether the Zoom host has reached the daily API request limit.
If everything appears correct but meetings are still not being created, contact Appointy Support with the affected appointment details.
2. Zoom Meeting Link Is Missing from the Customer's Email
If the Zoom meeting was created but the link does not appear in the customer's confirmation email:
- Open the relevant appointment in Appointy.
- Verify that the Zoom meeting link is available in the appointment details.
- Navigate to Settings → Customize Emails.
- Open the Booking Confirmation email template.
- Make sure the Meeting Location Smarty Tag is included.
- Save your changes.
You can also add the same tag to the appointment reminder template.
3. Zoom Meetings Stop Working When One Zoom Account Is Connected to Multiple Appointy Accounts
If the same Zoom account is connected to multiple Appointy business accounts, disconnecting Zoom from one Appointy account may invalidate the integration used by the other accounts.
The other Appointy accounts may not receive an automatic notification that their Zoom connection is no longer working.
If meetings stop being created, check the Zoom connection in every affected Appointy account and reconnect where necessary.
4. Zoom Meeting Does Not Reflect Changes to Appointment Notes
Changes to appointment notes or status in Appointy are not automatically synchronized with Zoom.
The Zoom integration manages meeting creation, rescheduling, and cancellation associated with Appointy appointments.
Frequently Asked Questions
Does Appointy automatically create Zoom meetings when customers book appointments?
Yes. When Zoom integration is active and configured for the selected services and staff members, Appointy automatically creates Zoom meetings for eligible appointments.
Will Zoom meetings appear in my Zoom account?
Yes. When an eligible appointment is booked through Appointy, a corresponding meeting is created in your connected Zoom account.
What happens if I reschedule an appointment in Appointy?
The corresponding Zoom meeting is automatically updated to reflect the new appointment date and time.
What happens if I cancel an appointment in Appointy?
When an appointment is canceled in Appointy, the corresponding Zoom meeting is automatically canceled in the connected Zoom account.
Can multiple staff members use Zoom with Appointy?
Yes. If your Zoom account has multiple users, the main Appointy administrator can associate Zoom users with the appropriate Appointy staff members.
Can staff members connect Zoom independently?
No. The Zoom integration is configured and managed by the main Appointy administrator through Marketplace.
How do customers receive their Zoom meeting links?
Customers can see the Zoom meeting link on the booking confirmation page. You can also include the link in booking confirmation and reminder emails using the Meeting Location Smarty Tag.
Can I use Zoom for group appointments?
Yes. Appointy supports the use of a Zoom Personal Meeting ID for group bookings. However, the setting also applies to eligible individual appointments using the same configuration.
Can I disable Zoom for certain services or staff members?
Yes. You can deselect services or unlink individual staff members from the Zoom integration without disconnecting Zoom from the entire Appointy account.
Can I temporarily deactivate Zoom without disconnecting it?
Yes. Turn off the Active toggle in Marketplace → Zoom Meetings to temporarily disable the integration.
How do I completely disconnect Zoom from Appointy?
Navigate to Marketplace → Zoom Meetings and click Revoke to disconnect the account.
Why are my Zoom meetings no longer being created?
This may happen if the integration is inactive, the service or staff member is not configured correctly, the Zoom authorization has become invalid, or the Zoom host has reached an applicable API request limit.
Does Zoom have a daily meeting creation limit?
Zoom documents a limit of 100 meeting creation and update API requests per meeting host per UTC day. Meeting updates can also count toward this limit, so it should not be interpreted as a guaranteed allowance of 100 new meetings.
