When you do not make it mandatory for your clients to select a staff member while booking an appointment with you, the system automatically allocates a staff member for the appointments. Appointy allows you to select from a set of predefined staff allocation order conditions.
You have the following set of predefined staff allocation order conditions to select from:
- More free staff (Time-wise)
Appointments will be allocated to the staff based on the number of appointment hours recorded for each staff member on the day. The staff member with the least number of appointment hours for the day will be booked for an appointment first.

For instance, if Staff ‘A’ is occupied for 4 hours and Staff ‘B’ is occupied for 3.5 hours on the day, then the appointment will be allocated to Staff ‘B’ first as he is running with less number of appointment hours.
. - More free staff (Appointment-wise)
Appointments will be allocated to the staff based on the number of appointments recorded for each staff member on the day. The staff member with the least number of appointments for the day will be booked for an appointment first.

For instance, if Staff ‘A’ is occupied for 4 hours in 2 appointments and Staff ‘B’ is occupied for 3.5 hours in 4 appointments on the day, then the appointment will be allocated to Staff ‘A’ first because the number of appointments recorded for Staff ‘A’ is less than Staff ‘B’.
. - More busy staff (Time-wise)
The staff member with the most number of appointment hours for the day will be booked for an appointment first.

The staff member with the most number of appointments for the day will be booked for an appointment first.
. - Order in which staff are displayed
Staff members will be allocated for the appointments based on the order in which they are displayed in ‘Settings’ under the ‘Staff’ tab.
Here’s how you can set the allocation order based on which the staff members will be booked for the appointments:

- Log into your Appointy admin panel.
. - Click on the ‘Settings’ icon in the toolbar appearing on the left.
. - Go to the ‘Staff Options’ tab under the ‘Customer Booking Flow’ section.
. - Click on ‘In what order should appointments be allocated to staff’ next to the ‘Staff Options’ title head.
