Appointy lets you collect payment from customers while they are booking an appointment online.
Before enabling prepayments, connect at least one supported payment gateway to your Appointy account.
Supported gateways include:
- Stripe
- Square
- PayPal
- Authorize.Net
If you have more than one payment gateway connected, customers can choose from the available payment options during checkout.
Quick navigation
Settings → Customer Booking Rules → Payment Rules → Accept Pre-payments
Before you enable prepayments
Make sure you have connected a supported payment gateway.
To connect one, go to:
Marketplace → Apps & Integrations → Payment Gateways
You can then connect the gateway you want to use for collecting online payments.
How to enable prepayments
Step 1: Open Payment Rules
- Log in to your Appointy admin account.
- Go to Settings.
- Under Customer Booking Rules, select Payment Rules.
..
Step 2: Enable Accept pre-payments
Turn on Accept pre-payments.
Once enabled, Appointy lets you choose how much customers should pay during booking.
..
Choose how much to collect
You can configure one of the following prepayment methods:
Charge full-service amount
The customer pays the complete service price while booking.
For example:
Service price: $100
Prepayment collected: $100
Charge fixed booking fee
Collect a fixed amount regardless of the full service price.
For example:
Service price: $100
Fixed booking fee: $25
Prepayment collected: $25
The remaining amount can be collected separately.
Charge a percentage of the service value
Collect a percentage of the service price.
For example:
Service price: $100
Prepayment: 50%
Amount collected during booking: $50
Set the required prepayment amount
After selecting your preferred payment rule:
- Enter the fixed booking fee, if using a fixed amount
- Enter the percentage, if using percentage-based prepayment
- Select full-service amount if the entire service price should be collected
If a service has a price of 0, no service-value prepayment will be collected for that service.
Configure tax, if required
You can also configure tax from the payment settings.
Enable Tax, then add the required tax details.
You can create multiple taxes if your business requires them.
.
The applicable tax can then be included as part of the payment calculation.
Business-level prepayment rules and service-level overrides
The Payment Rules configured at the business level act as the default for your services.
By default, services follow these payment settings.
If a particular service needs a different prepayment requirement, you can change the prepayment setting at the service level.
For example:
Standard Consultation
- Follows business default
- No special service-level payment rule
Premium Consultation
- Requires full payment during booking
In this case, only the Premium Consultation uses the service-specific rule.
Example
Suppose your business normally charges a 25% prepayment.
For a $200 service:
$200 × 25% = $50
The customer pays $50 while booking.
If another service requires full payment, you can configure that service separately without changing the business-wide default.
What happens during customer booking?
When prepayments are enabled and a payment gateway is connected:
- The customer selects the service and booking time.
- Appointy calculates the required prepayment.
- The customer proceeds to payment.
- The connected payment gateway processes the transaction.
- Once payment is completed, the payment is associated with the booking.
If multiple payment gateways are connected, the customer can select from the payment methods available during checkout.
Payment gateway vs prepayment rule
These settings serve different purposes.
| Setting | Purpose |
|---|---|
| Payment Gateway | Determines how the payment is processed |
| Prepayment Rule | Determines how much the customer pays while booking |
For example:
Stripe + 50% prepayment
means Stripe processes the payment, while Appointy requires the customer to pay 50% of the service value during booking.
