Assigning staff to a service determines which team members can provide that service and be considered for customer bookings.
For multi-location businesses, staff assignments can also vary by location, so the same service can be offered by different employees at different locations.
How to assign staff to a service
Quick navigation
Settings → Appointment Settings → Services → Select Service → Service & Employee Pricing → Assign Employee → Select Staff and Duration → Save
Step 1: Open the staff assignment panel
- Log in to your Appointy admin account.
- Go to Settings.
- Under Appointment Settings, open Services.
- Select the service you want to configure.
- Scroll to the Service & Employee Pricing section.
- Click Assign Employee.
This opens the employee assignment window for the selected service.
Step 2: Select the staff member and service duration
In the Assign Employee window, select the staff member you want to assign to the service.
If the service has multiple durations, select the duration or durations that the employee provides.
For example, if a service is available in:
- 60 minutes
- 120 minutes
you can assign one employee to both durations while another employee may only provide the 60-minute option.
You can also use Assign to All if the service should be assigned to all available employees.
Once the required staff and durations are selected, click Save.
[Add Image – Step 2: Highlight employee/duration selection, “Assign to All,” and “Save”]
The selected staff members will then appear under the Service & Employee Pricing section for that service.
Assign staff by location
If the service is available across multiple locations, assign staff for the relevant location.
This is useful when the same service is offered at several locations but different employees provide it at each location.
For example:
Deep Tissue Massage
- Downtown → Therapist A, Therapist B
- Riverside → Therapist C
- Airport → Therapist D, Therapist E
The service can remain the same while the assigned employees differ by location.
Assign different service durations to different staff
If a service has multiple durations, you can control which durations each employee provides.
For example:
Consultation
- 30 minutes
- 60 minutes
- 90 minutes
Staff A may provide:
- 30 minutes
- 60 minutes
Staff B may provide:
- 60 minutes
- 90 minutes
This lets you configure the service around the actual way each employee delivers it.
Why staff assignment matters
Assigning the correct staff to a service helps ensure that:
- Customers only see employees who provide that service
- Location-specific staff are shown correctly
- The correct service durations are available for each employee
- Availability is calculated using the appropriate employee schedules
- Staff who do not provide the service are not offered to customers
Staff assignment vs staff availability
These are related but different settings.
Staff assignment answers:
“Can this employee provide this service?”
Staff availability answers:
“When can this employee provide this service?”
For example:
Assigned to Massage: Yes
Available for Massage: Monday–Friday, 10:00 AM–5:00 PM
Both settings work together to determine when customers can book that employee for the service.
